01 / The business need
Know what is covered before you need help.
Routine maintenance, a content request and an urgent incident are different kinds of work. A useful care conversation makes ownership and boundaries clear: who manages hosting, who can approve a change, how requests are raised and what the agreed service actually covers.
A practical guide to the decisions involved. The additional explanations on this page are planning guidance; the agreed proposal defines deliverables, timing, fees and responsibilities.
Nobody knows who owns the accounts.
Hosting, domains, plugins and outside services may have different owners. An access inventory is a practical starting point.
Updates happen without a review.
A software update can affect connected features. The approach should consider the site’s complexity and the checks appropriate to it.
Requests have no clear route.
A shared understanding of request types, priorities and approvals helps distinguish routine work from changes that need a separate scope.
02 / How the pieces connect
Care is a system of responsibilities.
A conceptual responsibility map. Monitoring frequency, support availability, backups, recovery and included changes must be confirmed in the actual service agreement.
Know the foundation
Website platform, hosting, domain ownership, credentials and third-party dependencies.
Maintain the moving parts
Updates, compatibility considerations and the checks appropriate to the agreed scope.
Handle change
Content requests, issue reports, approvals and a defined path for work outside the plan.

What’s included
Why it works
How the work runs
04 / Practical decisions, not invented results
Different requests need different conversations.
Illustrative triage guidance, not a service-level agreement. The cause, access available and agreed coverage determine what happens next.
“Our contact details changed.”
Identify the pages and external listings affected. Supply approved wording and confirm who can sign off on business information.
Content request“A form no longer works.”
Share the URL, what you tried and when it failed. A form can depend on the site, email delivery and third-party services; diagnosis needs context.
Issue report“We want a new booking system.”
Describe the workflow and the system involved. New features or integrations may need discovery, licensing and a separate development scope.
New capability“We think the site is compromised.”
Use the agreed support route and avoid making speculative changes that remove useful evidence. Response availability and recovery obligations must be confirmed in your agreement.
Potential incident05 / A working approach
Plan website care
in the right order.
A discussion framework, adapted to the project. Not a fixed package or delivery schedule.
-
Inventory the site
Identify the platform, access owners, hosting arrangement and important third-party dependencies.
-
Define the boundaries
Agree on included work, exclusions, approval contacts, request channels and any response commitments.
-
Maintain & communicate
Handle the agreed care work with attention to dependencies and communicate issues that need a business decision.
-
Revisit the plan
Review coverage when the site gains new features, third-party services change or your internal responsibilities shift.
06 / Before we talk
Website care
questions, answered.
Bring this to the conversation.
- Website URL, platform and hosting details if known
- Account owners—not passwords sent through an inquiry form
- Current issues and the kinds of changes you regularly need
Does care include hosting and emergency support?
Do not assume all services are bundled. Hosting, monitoring, backups, recovery and out-of-hours response should each be confirmed in writing. The service agreement defines availability and any response commitments.
Can you take over a website built by someone else?
That needs a review of the platform, code, licensing, account access and existing issues. Some sites may need remedial work before a care arrangement is suitable. Access to a website alone does not establish ownership of every connected service.
Are new features included?
A routine content edit is not the same as a new workflow, integration or redesign. Discuss examples of expected requests and how out-of-scope work will be estimated and approved before it begins.
